PRIVACY & GDPR

Privacy Policy

Sentry8 is committed to being clear about the information we process and why we process it. This policy describes our handling of information on the Sentry8 website, contact forms, dashboard, and welcome-page telemetry.

Last updated:

1. Who we are

This policy applies to Sentry8, referred to as “Sentry8,” “we,” or “us.” For privacy questions or requests, contact us at ops@sentry8.com.

Where applicable data-protection law applies, Sentry8 is the controller for the personal information described in this policy. Customer-specific agreements may provide additional terms for information processed through the Sentry8 service.

2. Information we collect

Information you provide

If you contact us, we may process your name, email address, company, role, area of interest, and message so that we can respond to your enquiry.

Welcome-page analytics

The public welcome page records limited engagement events using our Visitoring analytics service. These include a generated anonymous visitor ID, a generated session ID, event name, allowlisted event properties, page path, referring hostname, and event timestamp. Visitoring also derives coarse device, browser, operating-system, country, and region categories. It briefly processes the request IP for coarse location and abuse prevention, but does not retain the raw IP address or full browser user-agent string. Telemetry does not intentionally collect your name, email address, message contents, or account identity.

Anonymous or pseudonymous identifiers may still be treated as personal information where applicable law permits them to be linked to an individual.

Account and service information

If you use the authenticated dashboard, we process account and workspace information needed to provide the service, such as your sign-in email, display name, project membership, role, and security or session records.

Security and abuse-prevention information

We may process an IP address and related request metadata for rate limiting, fraud prevention, service security, and abuse prevention. This information is not used to identify website visitors.

3. Why we use information

  • Respond to enquiries and evaluate requested next steps.
  • Provide, maintain, and secure the Sentry8 service.
  • Understand limited welcome-page engagement through Visitoring.
  • Detect abuse, enforce rate limits, and protect our infrastructure.
  • Meet applicable legal and regulatory obligations.

4. GDPR notice

If the GDPR, UK GDPR, or another applicable data-protection law applies to you, we process information using the following legal bases where appropriate:

  • Pre-contractual steps or legitimate interests to respond to enquiries, discuss requested services, and manage business communications.
  • Legitimate interests for limited first-party analytics, service security, abuse prevention, and infrastructure protection, subject to a balancing assessment where required.
  • Legal obligations where processing is needed to comply with applicable law or to establish, exercise, or defend legal claims.

We do not use this policy to make a legal determination about whether a particular processing activity requires consent in a specific jurisdiction. We will obtain consent where applicable law requires it.

5. Browser storage and privacy controls

  • We do not use advertising cookies or cross-site tracking technologies.
  • Welcome-page telemetry IDs are generated and stored in browser local storage and session storage so events can be grouped without using an account identity.
  • Essential authentication cookies support secure dashboard sessions.
  • Welcome-page telemetry is skipped when the browser sends a Do Not Track signal or telemetry is disabled through the applicable configuration settings.

6. Service providers and transfers

We use service providers to operate Sentry8. Depending on the service and deployment, these providers may include:

  • Hosting and application-infrastructure providers that serve the website and dashboard.
  • Database and storage providers that support application and telemetry data.
  • Email-delivery providers that deliver contact-form and account-related messages.
  • Our Visitoring analytics service and its hosting and database providers, which process and store welcome-page telemetry.

Providers receive only the information needed for their role and are expected to protect it under applicable agreements. Data may be processed outside the EEA, UK, or Switzerland. Where required, we use an appropriate transfer mechanism and safeguards.

7. Retention

We retain information only for as long as it is reasonably needed for the purpose for which it was collected, including analytics, security, service delivery, enquiry follow-up, legal obligations, dispute resolution, and enforcement of agreements. Retention periods may differ by data type and operational need.

Visitoring telemetry event records are kept for up to 24 months and then removed through a rolling retention process.

To request deletion or ask about retention of information relating to you, email ops@sentry8.com. We may need to verify your request before acting on it.

8. Your privacy rights

Subject to applicable law and exceptions, you may have the right to:

  • Request access to personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your information.
  • Request restriction of processing.
  • Object to processing based on legitimate interests.
  • Request portability where the right applies.
  • Withdraw consent at any time where processing is based on consent, without affecting prior lawful processing.

You may also lodge a complaint with the data-protection supervisory authority in the country where you live, work, or believe an infringement occurred.

9. Security and policy updates

We use reasonable technical and organisational measures designed to protect information against unauthorised access, loss, misuse, or alteration. No internet transmission or storage system can be guaranteed to be completely secure.

We may update this policy when our services, processing, or legal obligations change. The “Last updated” date above identifies the latest revision. Material changes will be communicated through appropriate channels where required.
